A step by step guide on how to on-board and test Maxwell's Hosted Encompass eDisclosures feature.

Feature Overview
We’re excited to announce a major enhancement to the eDisclosure experience within our point of sale (POS), made possible through our integration with Encompass Partner Connect and the Partner Doc Delivery APIs. This update creates a more seamless, transparent, and reliable eDisclosure process for both borrowers and lenders.
Key Benefits
1. Streamlined Borrower Experience
Borrowers will now receive, view, and sign their Mortgage eDisclosures directly from the Maxwell point of sale (POS). We've eliminated redirect, authentication, and consent steps that caused friction and confusion for borrowers, delivering a faster, more intuitive, and mobile-friendly signing flow.
Steps removed for borrowers:
No redirect or SSO into Encompass Consumer Connect (ECC)
No authentication code required
No additional eConsent required
No need to close ECC iFrame to update task status
2. Increased Transparency for Loan Officers in the POS
With our new signing status updates Loan Officers gain real-time visibility into borrower progress with disclosures (sent, viewed, signed, declined) making it easier to offer timely support and guidance to borrowers.
Additionally, LOs can view and sign disclosures directly from the POS, to improve workflow efficiency.

3. Seamless and Reliable Encompass Integration
Built on Encompass Partner Connect and the Partner Doc Delivery APIs, this integration enables secure, reliable, and automated document flow between Encompass and Maxwell.

How Maxwell Hosted eDisclosures Works
Lender generates disclosures in the Encompass eFolder and selects “Send to Maxwell POS Disclosures” as the delivery method.
Maxwell receives the disclosure documents instantly after generation.
Documents are packaged into a single eSigning envelope.
An eDisclosure task is created in the POS and email notifications are sent to all borrower participants.
Borrowers log into the POS, navigate to the eDisclosure task, and click "View & Sign."
The eDisclosures open directly in the POS, allowing borrowers to complete signing.
Maxwell tracks all signing activity (opened, signed, declined), updating the POS and Encompass logs.
LO logs into the POS to view borrower signing statuses and sign disclosures
Once all participants have signed, the task is completed and documents are synced back to Encompass eFolder.
Maxwell Hosted Disclosures Integration Set Up
Encompass Setup
To enable the hosted disclosures feature an Encompass admin from your organization will have to complete the following six steps to set up the Maxwell Partner Document Delivery services.
Do this for your test Encompass environment first, and then once you're confirmed in your test environment you will need to repeat steps 1-6 to go-live for all production environments.
From Encompass Admin
Go to Services Management and select Add Service.
Select Document Preparation and click Retrieve Products.

Locate the Maxwell service and click on Manual.

Configure the Service by adding a service setup name, description, readiness conditions, and authorized user. The Service Setup Name is what will be displayed to your LOs and disclosure desk team members in the Delivery Method dropdown that they will use to select how the disclosures will be delivered to borrower. So you'll want to choose a name that is simple and self-explanatory to your team members. Examples: Maxwell Delivery, POS Delivery, or Send to {Your Site Name}.

Check that your New Disclosure Delivery Method is available via the eFolder --> Web Deocument Flows.


File a Support Desk Case with ICE: This is the final step to enable your Encompass environments for Encompass Partner Connect Disclosures.
Subject: Enable EPC Disclosures for {Encompass Environment #'s e.g. BE112345}
Request Body: Our organization is enabling Encompass Partner Connect disclosures with our POS vendor Maxwell. We would like to enable the following Encompass environments {list Encompass environment #'s} to remove the one time password error message.

Typically this support cases is fulfilled by ICE as a standard downtime update the Saturday after the request is made.
Pre-requisite Notes:
For partner doc delivery to work the lender's instance needs and Encompass Consumer Connect Site set up. It does not need to be configured or pointed to an SSO connection, but a basic page needs to be there for the end to end flow to work. All lenders who use Encompass Disclosures would have this set up.
Encompass Compliance Service (ECS) needs to be enabled on the Encompass instance to order disclosures. Again this should be setup by all lenders who use Encompass disclosures.
In the event your organization does not have either of these set up in Encompass please refer them to the following documentation below.
Testing Instructions
Pre-requisites to complete prior to testing
Maxwell Admin set up of Hosted Disclosures (see above)
Set up Maxwell Partner Doc Delivery on Encompass web (see above)
Prerequisites: An active ECC site and active ECS setup
Create a loan application on one of your disclosures enabled sites.
Complete the loan application with a single borrower and export it to Encompass. Note: You can also test multiple borrowers, NBOs and other cases but we suggest starting with a basic scenario for your first confirmation.
Log in to Encompass at https://www.encompassloconnect.com/ or in your desktop experience using your credentials for Encompass.
Locate your loan—it's most likely in the 'Pipeline' folder.

5a. From Encompass Desktop (Smartclient) click on the e-Folder then in the toolbar click the Web Document Flows dropdown and select "Disclosures" then skip to Step 7 Delivery Method

5b. From Encompass Web In the left-hand panel, navigate to the eFolder.
5c. On the right-hand side of the pane, select Disclosures.

From the Delivery Method dropdown, select 'Send to Maxwell POS Disclosures'. This should be the default selection once it's enabled.

Select At-Application as the package type. If a plan code is not pre-selected, choose one manually.

Allow the audit to run and complete any required fields.


Choose the disclosure documents you want to includes in the package, then select Next.

Review Signers to confirm it's going to all the necessary parties and Click Send to Partner.


Log in to the Borrower Hub as the borrower of the loan. The disclosure task should appear shortly. (Note: It may take a minute or two, so please refresh the page if it doesn't appear immediately.

Click View and Sign Disclosures. This will redirect you to the e-sign experience.
Sign all required fields and click Continue within e-sign experience.

You will be redirected back to POS. The package may appear as 'viewed' but not 'signed.' If this happens, refresh the page and within the a few moments the status should update to 'signed.'


Go to the Lender Hub experience go to Borrower Tasks Tab --> eDisclosures Tasks and click Review and Sign Docs as lender.

Sign Docs as the Loan Originator

Return to see task as viewed and signed. Note that once signed you will need to have the Encompass file closed so we can sync the documents and disclosure tracking events back to the loan file.

Allow a few minutes for the Encompass file to be closed to allow time for syncing
Open the Encompass loan file and go to the disclosure tracking log in tools
Review the eConsent and LE Sent and Received dates in the summary.

Click on the disclosure package and click View Summary see the timestamps for Message Viewed, eSigned Viewed Date, and eSigned Disclosures and any other disclosure tracking events associated with the package

The events will also be visible from the Lender Hub, in the Activity Log.

At this point you've tested the end to end experience of the disclosures feature. After you've done a single borrower scenario we encourage you to test a few other disclosure package types and borrower use cases (co-borrowers, non-borrower owners, etc.)
FAQs
Can I reissue disclosures in the Point of Sale?
Yes, you can reissue disclosure by creating a new disclosure package. You will need to repeat steps 5-17 to reissue disclosures and have all participants sign the package. It will appear as an addition e-disclosures task for the borrower.
Can Non Borrower Owners or Title Only Borrowers sign documents?
Yes, you will need to create the NBO or title only participants in Encompass contacts PRIOR to issuing the disclosure task. After you create the participant AND issue the disclosure task they need to sign. The NBO will receive an email invite to create their POS account and will receive a notification that an e-disclosure task is available to sign.
Can I send an individual disclosure doc to sign for the borrower that was missed on the individual package?
This is possible, we recommend going through the web documents flows and selecting disclosure, choose the applicable plan code and then select only those docs that you need to send.
If you need to send an individual document that's not attached to a specific plan code you can use the "Request/Send" tool. If the document template is stored as a disclosure it will send as an e-disclosure task for the borrower. However, if it is not stored as a disclosure we will not recognize and send the document to the POS.
Can I Request/Send other documents that aren't disclosures?
No, we do not support that workflow in the Hosted Disclosures feature. If you wish to send or request other documents from the borrower you will need to do that from the POS Borrower Tasks flows.
Do you support WetSign disclosures?
Yes, we will recognize if a document is Wet Sign document and provide the document as a downloadable PDF which can be printed, signed and then re-uploaded within the e-Disclosures task.
