A step by step guide on how to on-board and test Maxwell's Hosted Encompass eDisclosures feature.

Feature Overview

We’re excited to announce a major enhancement to the eDisclosure experience within our point of sale (POS), made possible through our integration with Encompass Partner Connect and the Partner Doc Delivery APIs. This update creates a more seamless, transparent, and reliable eDisclosure process for both borrowers and lenders.

Key Benefits

1. Streamlined Borrower Experience

Borrowers will now receive, view, and sign their Mortgage eDisclosures directly from the Maxwell point of sale (POS). We've eliminated redirect, authentication, and consent steps that caused friction and confusion for borrowers, delivering a faster, more intuitive, and mobile-friendly signing flow.

Steps removed for borrowers:

  • No redirect or SSO into Encompass Consumer Connect (ECC)

  • No authentication code required

  • No additional eConsent required

  • No need to close ECC iFrame to update task status

2. Increased Transparency for Loan Officers in the POS

With our new signing status updates Loan Officers gain real-time visibility into borrower progress with disclosures (sent, viewed, signed, declined) making it easier to offer timely support and guidance to borrowers.

Additionally, LOs can view and sign disclosures directly from the POS, to improve workflow efficiency.

Lenders can now see signer status as well as sign disclosures directly in the Point of Sale.

3. Seamless and Reliable Encompass Integration

Built on Encompass Partner Connect and the Partner Doc Delivery APIs, this integration enables secure, reliable, and automated document flow between Encompass and Maxwell.

How Maxwell Hosted eDisclosures Works

  1. Lender generates disclosures in the Encompass eFolder and selects “Send to Maxwell POS Disclosures” as the delivery method.

  2. Maxwell receives the disclosure documents instantly after generation.

  3. Documents are packaged into a single eSigning envelope via DocuSign.

  4. An eDisclosure task is created in the POS and email notifications are sent to all borrower participants.

  5. Borrowers log into the POS, navigate to the eDisclosure task, and click "View & Sign."

  6. The DocuSign envelope opens directly in the POS, allowing borrowers to complete signing.

  7. Maxwell tracks all signing activity (opened, signed, declined), updating the POS and Encompass logs.

  8. LO logs into the POS to view borrower signing statuses and sign disclosures

  9. Once all participants have signed, the task is completed and documents are synced back to Encompass eFolder

Maxwell Hosted Disclosures Integration Set Up

NOTE: This step is not necessary for clients set up on LOSS

Maxwell Admin Set Up

A Maxwell Admin will help the client's administrator configure their Point of Sale organization settings and site management to enable Maxwell Hosted Disclosures. To begin setup the organization will need to provide the following credentials.

  1. The site or partner must have valid DocuSign credentials configured

  2. Valid Encompass API credentials set up in LOSS

  3. Configure the webhook in the Encompass credentials. Resource: loan Events: ["change"] Filters: {"attributes":["/stateDisclosure/refundCondition1"]}

Please note that you must select "Yes" for "Encompass Partner Connect Disclosures Enabled."

Encompass Setup

To enable the hosted disclosures feature an Encompass admin from your organization will have to complete the following four steps to set up the Maxwell Partner Document Delivery services.

From Encompass Admin

  1. Go to Services Mangement and select Add Service.

  2. Select Document Preparation and click Retrieve Products.

  1. Locate the Maxwell service and click on Manual.

  1. Configure the Service by adding a service setup name, description, readiness conditions, and authorized user. The Service Setup Name is what will be displayed to your LOs and disclosure desk team members in the Delivery Method dropdown that they will use to select how the disclosures will be delivered to borrower. So you'll want to choose a name that is simple and self-explanatory to your team members. Examples: Maxwell Delivery, POS Delivery, or Send to {Your Site Name}.

Configure the site name, readiness conditions, and authorized users in services management.
From the Encompass Desktop (SmartClient) select Web Document flows to access Partner Document Delivery method.
The service setup name is what will appear in the "Delivery Method" dropdown when ordering disclosures. Choose a name your team will intuitively understand.

In the June 7th OD release. Encompass will release a feature to make eDisclosures Partner Doc Delivery interoperable between Web or Desktop.

Pre-requisite Notes:

  1. For partner doc delivery to work the lender's instance needs and Encompass Consumer Connect Site set up. It does not need to be configured or pointed to an SSO connection, but a basic page needs to be there for the end to end flow to work. All lenders who use Encompass Disclosures would have this set up.

  2. Encompass Compliance Service (ECS) needs to be enabled on the Encompass instance to order disclosures. Again this should be setup by all lenders who use Encompass disclosures.

Testing Instructions

  1. Create a loan application on one of your disclosures enabled sites.

  2. Complete the loan application with a single borrower and export it to Encompass. Note: You can also test multiple borrowers, NBOs and other cases but we suggest starting with a basic scenario for your first confirmation.

  3. Log in to Encompass at https://www.encompassloconnect.com/ or in your desktop experience using your credentials for Encompass.

  4. Locate your loan—it's most likely in the 'Pipeline' folder.

  1. From Encompass Desktop (Smartclient) select Web Document Flows dropdown and select "Disclosures" then skip to Step 7 Delivery Method

  1. From Encompass Web In the left-hand panel, navigate to the eFolder.

  2. On the right-hand side of the pane, select Disclosures.

  1. From the Delivery Method dropdown, select 'Send to Maxwell POS Disclosures'.

  1. Select At-Application as the package type. If a plan code is not pre-selected, choose one manually.

  1. Allow the audit to run and complete any required fields.

  1. Choose any or all of the documents available, then select Next.

  1. Click Send to Partner.

  2. Log in to the Borrower Hub as the borrower of the loan. The disclosure task should appear shortly. (Note: It may take a minute or two, so please refresh the page if it doesn't appear immediately.

  1. Click View and Sign Disclosures. This will redirect you to DocuSign.

  2. Sign all required fields and click Continue within DocuSign.

  3. You will be redirected back to POS. The package may appear as 'viewed' but not 'signed.' If this happens, refresh the page and within the a few moments the status should update to 'signed.'

  1. Return to Encompass Web and locate the Disclosures Tracking section under Tools for the loan.

  1. Locate the disclosure package, click the three-dot menu, and then select the pencil icon.

  1. While viewing the disclosure package, click on eDisclosure Tracking to see the timestamps for Message Viewed, eSigned Viewed Date, and eSigned Disclosures.

  1. The events will also be visible from the Lender Hub, in the Activity Log.
