Upon logging into the Lender Hub, you will be greeted by the pipeline view. This dashboard shows all loan files currently being processed, with a powerful sorting and filtering engine to assist in locating particular loan files. Read through the sections below to learn the basics of pipeline navigation and how to use the advanced search and filtering tools to quickly navigate to the loan files in your pipeline that need your attention.
There are four main areas of the pipeline view that all lenders should be familiar with:

There are 3 different ways that a Lender can create a new loan file from the pipeline view.
a. Create "New Application" from scratch
b. Import from MISMO 3.4
c. Share my "Start Application" link
d. Copy an existing loan file
Borrowers can also create new loan files directly from your loan application links. You can learn more about that in Loan Assignment Links.
If you want to start an application for a new borrower who has not yet started a file in your POS. Do the following steps:
Login to the POS and go to your pipeline
In the top right side header click the "+ New Application Button"
A new application modal window will open and prompt you to enter basic borrower contact information: Name, email, and phone. You need to enter at least the required fields to create.
You have the option to either send the borrower an email invitation on file creation. That will invite them to login and begin an application right away. Or if you prefer you can hold the email invite and work the file on your side first until you want to send them a follow up task.
Click "Create" button to create the file.
At this point, you'll see the new file appear on top row of your pipeline. You can open the file to start the application and add follow-up tasks for them OR if you selected the email invite option above, the borrower will receive an email to create an account and begin the application process.
If you already have a loan file from another mortgage origination source like an LOS, a TPO, or a CRM we have an option where you can import that file into the POS if you can export it from your other system in a valid 3.4 format.
• First, go to your other system and download the 3.4 xml file
• Then, from the pipeline click the Import from MISMO 3.4 button at the top right hand corner.
• Then, in the upload window upload the 3.4 xml file.
• After a brief upload processing period you'll see a success message and the file will display at the top of the pipeline with all loan file and application data pre-filled.
The third option for starting an application from the pipeline view is to share your application link. This is a great option if networking and you want a quick way to send them a link to get started on the application process.
• Simply click the little share application icon and copy the link and send it to your lead via email or text
If you already had a loan application filew with a borrower and you wanted to start another application, you can copy the majority of their information from an existing file. This is great for scenarios like a borrower doing a second for a downpayment, serial applicants who does investment properties, or a previous purchaser who's looking to refinance.
In these scenarios scroll all the way to the right side of the pipeline to find ... dropdown. Click on that dropdown and select "+ Start New Application"
Select the option "Yes, import borrower information"
After a brief processing time, you'll open into the new loan file with most of the information from the previous app copied over.
The lender pipeline table is the main area for you to see all the files in in your pipeline and to navigate to the files that you want to work on.
At the top of the loan pipeline, we see all the columns of loan information that will be displayed. Your organization can configure which columns will appear and the order they will appear in at implementation set up.
By default your pipeline will sort by most recent application start date. But if you click the heading of a different column it will sort by that row (e.g. by highest LOS Loan number or by % application complete.
At the lender user level, you can adjust the widths of the columns to your preferences by clicking and dragging the column edges. You can also change what information displays by setting up SmartViews.
To open a loan file, just click anywhere on the row of that borrower's information. That will open you up to the overview screen for that borrower's file. From there you can use the tabs at the top of the file to begin working the file. You can start the application, assign the borrower tasks, order services, upload documents or start pricing.
From the pipeline, you can scroll to the far right side to get to the ... menu to do three addtional actions.

Archiving a file closes it so the borrower no longer can access it and removes it from your active pipeline. You can still access archived files by clicking archive on the left-hand navigation.
Managing a team allows you to modify which team members will work on the file. Selecting this will bring up a modal window. You can either select a team template that is available to you or modify the individual team members.
One thing to note is that the percent of completion of an application is tied to the borrower site only, so if a loan officer is completing an application in the lender site on behalf of the borrower, this column will not display the correct completion level, or it may display as blank as seen in the example below.
At the top, there is also a search bar to search for applications and a filter menu. Simply type in what you're searching for and once you have enough characters, the pipeline will filter down results. Applications can be searched by:
Borrower name
Borrower email
Maxwell loan number
LOS loan number
Primary loan officer
Site they are associated with (e.g. West Credit Union)
We also have a powerful filter engine to simplify the pipeline view and get down to only the files that you are specifically interested in viewing.
Example: Completed vs. Incomplete Applications
• To view all complete apps select: Filter > % complete > is exactly > 100
• To view all incomplete apps select: Filter > % complete > is less than > 100
Example: Recently Started Files
If you only want to see applications started in the last month you could use the filter:
Click "Filter" Button > Select "Start Date" > Select "is after" > and pick your applicable date
While you can filter on almost anything available in the Pipeline views here are some ideas to get you started.
Start Date: Find recently started loans (last day, last week, last month)
% Completion: Filter incomplete vs. completed apps
Borrower Last Login Date: Use this filter to see files the borrower logged in the last day to see which files were recently touched by borrowers.
Milestones: User this to filter down to loans before, on, or after a particular milestone: e.g. Processing, Underwriting, Approval, or Funding
TRID Collected: Filter by loans where TRID has or has not been triggered
Agent Assigned: If you're a branch manager perhaps you want to view specific team member pipelines.
Loan Type: Perhaps you want to look at just HELOCs or Constructions in your pipeline
Status: You can configure statuses like Fast Leads, Dead Leads, Loans, or whatever you would like to customize to categorize custom filters in your pipeline.
After you select your filter type from the list outlined above you will need to select a logical operator to define your pipeline filter.
For dates: It's before, after, exactly, etc.
For numbers: It's exactly, less than, greater than, etc.
Names / Subjects: It's exactly, any of, none of, not blank
For many filter criteria, a third dropdown will appear with all viable options. For example, if you select "site", a dropdown of all sites within your Lender Hub will appear. If you were to select the subject property usage type, a dropdown with primary residence, second home, and investment property would appear.
Finally, click "add" to add the filter to the pipeline view. The current filters will appear next to the search box. You can apply multiple filters to one loan pipeline. In the below example, the pipeline has been filtered to only display loans from the "Vision Mortgage" site, assigned to the Loan Officer "Sarah Sarahson" with an LOS loan number which is not blank. Also note the number of loan files returned is displayed in the bottom left.
On the left navigation bar there are tabs for the Pipeline, SmartViews, User Management, Exports, Archive and Reports. Note that all users of your platform may not have access to all of these tabs, this can be configured by access levels (see access level documentation here and user management documentation here).
Pipeline is effectively your home link. It will direct you back to your organizations default pipeline if you are in any of the other sections in the left hand navigation. The highlighted section in the left side nav, is which page view you are in. It's also marked as the headline on the top left side of the page.
SmartViews is our tool to save your favorite filters and pipeline settings that you consistently use. That way you quickly navigate to the views that will help you uncover which loans need your attention. For example, you could save "Incompleted Apps", "Completed Apps" or "Post Approval" as saved SmartViews.
On the left side of your screen find the sidebar navigation and find "Smartviews", click to expand and view all available SmartView pipelines.
Click "+ Add SmartView" button
In the window that opens up click + Add Filter
Enter in your filter logic as outlined in the Filter section above
Adjust the columns that will appear in this view by re-ordering or deleting some of the columns. This is a nice way to streamline the down to the most important information you'll see in certain saved views.
Title your filter that you'll see in the side navigation
Use the checkbox to determine if this is an organization-level view that you want used by all teams or a personal view just for you.
User management is where organization admins can create users, modify user, set up access levels and permissions, and set up team assignment templates. You can learn all about Lender Hub User Management here.
Exports contain a log of the most recent exports you've generated from the POS: 3.4 Application files, Lender Agent CSVs, and Documents.
Archive is a pipeline view of all archived (closed) loans.
Some of our lenders want to sort and filter their pipelines based on custom criteria that isn't necessarily captured in a loan file. For example, some organizations use our POS effectively as a CRM to capture and track leads. They want to quickly categorize their borrowers as Leads, Fast Leads, Deads Leads, In Progress Apps, and Loans and track how they can pull their leads through their funnel.
To do this we can set up custom statuses
Implementation Note: To set up custom statuses you'll need to contact customer support at help@himaxwell.com to set up your organization status settings.
After setting up the status in your admin panel. All lenders on your team will be able to view all available statuses as a dropdown on the upper right hand corner of each loan file. From there they can set and update the status.
You can also view all loan file statuses from the pipeline and sort/filter loan files based on statuses.
You can also modify the status directly from the pipeline view.
